MAY 2013: Yahoo Email - Files and Attachments

Email File Organization

With unlimited storage, your email Inbox can quickly bulge with unrelated emails. Organize them into meaningful folders and they'll be easier to manage.

1.     Organize your Inbox by adding new folders to hold important emails.  In the left hand column, left-click on the “+” sign to the right of “Folders” (or on the word “Add” to the right of “My Folders”).  Fill in the folder name, then left-click “OK”.  The new folder will appear in the left hand column.

2.     To move emails to a folder, put a check mark in the email that you wish to move.  Then left-click on the button “Move” in the menu bar above the email list.  A drop-down box will open with a list of all your folders.  Left-click on a folder name and the checked email will be moved to that folder. You will still have the email but your Inbox will be cleaner and neater.

3.     If you are good with your mouse, you can also just drag an email from the Inbox to the appropriate folder in the left hand column.

4.     Deleting emails from your Inbox can be done several ways:
a.     While an email is still open, just left-click the “Delete” button on the bar above the email’s subject.
b.     In the Inbox, click in the small white box at the left of any email to be deleted to checkmark this email.  Do the same on as many emails as you want to delete.  Then left-click the “Delete” button on the bar above the white boxes.
c.     To delete all emails in your Inbox (as long as there are 25 or less), left-click on the small white box on the left in the menu bar immediately above the emails.  All emails on the first page of the Inbox (25 total) will be checkmarked.  Then left-click the “Delete” button on the bar above the white boxes.  If you have more than 1 page of emails, you will have to repeat this for every page of 25 emails if you want to empty the entire Inbox.

5.     To quickly empty your entire Spam folder, hover your mouse over the folder name, then left-click on the trash can icon to the right of the folder name. Left-click “OK” on the pop-up confirmation screen and all mail in the Spam folder will be deleted.

6.     If you have unwanted folders, they can be deleted:
a.     In the new version of Yahoo email, hover your mouse over the folder and right click on it. A menu pops up that allows you to delete the folder. This will work for any folder that you created.
b.     In older versions of Yahoo email, left-click on the word “Edit” to the right of the “My Folders” heading.  This will open a new window that allows you to delete any folder that you created.

Attachments

You can attach up to 50 files to an email message including photos, audio files, spreadsheets, and word processor documents as long as you keep the total size of your message under 25 MB.

1.     WARNING:  The file you want to attach MUST be on your computer.

2.     Start your email by left-clicking on “New” or “Compose” button on the left side of the menu bar, above the Folders.  In the compose page of your email, left-click the paperclip icon that appears under the "Subject" box.

3.     A selection window opens that varies depending on the operating system and browser you're using AND the version of Yahoo Mail.
a.     If you see a screen that says “Attach Files”, left-click on “Choose File”.
i.  Find and select a file and then left-click Open (or the appropriate button for your window).  This must be repeated for each file that you want to attach.
ii. When you have all the files listed, left-click the “Attach Files” button above the list.
iii.                   The email will reappear and the attached files will be listed above the email text box with a paperclip to the left of each document.

b.     If you see a pop-up window labeled “File Upload”, you can choose multiple files.
i.  Find and select one or more files and then left-click Open (or the appropriate button for your window).
ii. The pop-up window will close and the document(s) will now be listed above the email text box.
Tip: To select multiple files, Ctrl+click each file or Shift+click the first and last file to include all files in between.

4.     If you change your mind and want to remove an attachment before sending the email, place the cursor over the attachment and left-click the white/black “X” on the top right of the attachment, or left-click “Remove All” above the attachments to remove all of the attachments (new version of Yahoo Mail).  OR, left-click on the word “Remove” that is immediately to the right of the attachment.

5.     As files are attached, the number of attachments and the total size of your message appear below the formatting bar (in the newer version of Yahoo Mail).  The size of each attachment will be noted to the right of the attachment’s name.
